Your location on the show floor will be assigned at the discretion of LMT; there will not be an opportunity to choose your booth. You will be notified of your assignment the week of January 22, 2024, about a month before the show date.
Any equipment, signage or A/V must fit within the overall parameters of the space you ordered. Nothing may extend beyond your booth into an aisle or your neighbor’s booth. There will be an 8-ft tall pipe and drape behind your booth. You may have a sign(s) or backdrop up to 96 inches (8-ft) wide and 96 inches (8-ft) in height. Your signage cannot block the neighbors on either side of your space.
PLEASE NOTE: We have tight space constraints! Be sure your displays fit within our space guidelines; LMT, the Hyatt Regency Chicago, and the Chicago Fire Department all retain the right to remove any items or materials, or stop any practices, that fall outside our guidelines or are determined to pose any safety risk to exhibitors or attendees.
GES (Global Experience Specialists) has been selected by LMT as the Official Service Provider for LAB DAY. All boxes or crates sent for your exhibit—and all those sent back after the show—will be handled by GES. In addition, GES offers furniture and accessories upgrades, custom signage, graphics, backdrops, installation and dismantle services and specialized shipping services. The link to order GES services is included on the Tasks tab of this portal.
Any packages shipped directly to the Hyatt Regency that can be identified as being for the show will be passed on to GES and billed to you by GES. However, there is a serious risk that misdirected packages, or any packages without the correct shipping label, could be refused, returned or lost. Neither the Hyatt Regency nor LMT accept any responsibility for materials you ship to the show.
Union Rules Affecting Delivery of Materials and Setup at LAB DAY:
Full-Time Employees of exhibiting companies may perform the following functions:
- Hand carry small items and pop-up displays. No hand trucks or carts are permitted. If you drive exhibit materials to the hotel loading dock, you will be charged by GES to get them into the exhibit hall.
- Install and dismantle displays within a 100-sq.-ft. or less booth space if one person can accomplish the task in 1/2 hour or less without the use of tools. Carpenters Union guidelines require that any exhibitor who uses tools to uncrate or re-crate materials/equipment must use and pay for the services of GES.
- Install graphics and small signs, and logos and graphics that are attached with pre-cut Velcro strips.
- Make technical, electrical connections and interwire equipment for computers providing the cables do not exceed 10’ in length.
- Perform simple electrical requirements, such as installing light bulbs.
The Chicago Fire Marshal has asked us to share some important information about storing your empty boxes at the show:
- You may not store empty boxes under your tables(s) or behind the pipe and drape! Chicago fire marshal-appointed fireguards will be in the hall throughout the show; the fire marshal or his proxies reserve the right to ask you to remove all boxes/cases/crates/equipment improperly stored, even if the show is already open.
- All boxes/crates must be tagged and stored by GES off premises during show hours.
- Empty box stickers will be available at the GES Service Desk, located in each Exhibit Hall.
- You are responsible for properly and clearly labeling your empty boxes/crates—this is the only way to guarantee their return to you at the close of the show.
- DO NOT adhere the empty box stickers to your boxes/crates until they are completely empty. Failure to do so may cause your boxes and crates to be collected prematurely.
- Once labeled, GES will remove empty large boxes/crates; once they are removed from the show floor, GES is not able to retrieve them from storage until the end of the show.
- GES will begin returning empties as soon as the show breaks at 4pm on Saturday. This process could take several hours to complete; your patience is appreciated.
LMT personnel, hotel staff and GES will be setting up the exhibit hall, installing electricity and delivering boxes during the day on Wednesday. WE CANNOT INTERRUPT THIS SET UP PROCESS TO SEARCH FOR PARTICULAR EXHIBITOR BOXES.

For your convenience, there will be a GES service desk located in each Exhibit Hall; GES staff will be available throughout the show to assist you.
It has come to our attention that many exhibitors are contacted by third-party companies via phone or email prior to the show claiming to sell discounted sleeping rooms, show services such as AV equipment, or the attendee list. These companies are not affiliated with LMT LAB DAY or the Hyatt Regency. We are certain they do not have access to the Hyatt room block or the official LAB DAY attendee list and LMT cannot be responsible for the accuracy of the data or sleeping room rates that these non-affiliated parties may provide.
