Your location on the show floor will be assigned at the discretion of LMT; there will not be an opportunity to choose your booth. You will be notified of your assignment the week of August 25, 2025, about a month before the show date.

Any equipment, signage or A/V must fit within the overall parameters of the space you ordered. Nothing may extend beyond your booth into an aisle or your neighbor’s booth. There will be an 8-ft tall pipe and drape behind your booth. You may have a sign(s) or backdrop up to 96 inches (8-ft) wide and 96 inches (8-ft) in height. Your signage cannot block the neighbors on either side of your space. The height limit in the Exhibit Halls is 10-ft.

If you book a tabletop display: There will be no pipe and drape behind your table; you may provide a pull up or retractable banner behind your table as long as it is no wider than 6-ft.

PLEASE NOTE: We have tight space constraints! Be sure your display fits within the parameters of the space you have booked; LMT, Vista Convention Services, the Westchester Marriott, and the Tarrytown Fire Department all retain the right to remove any items or materials or stop any practices that fall outside our guidelines or are determined to pose a safety risk to our exhibitors or attendees.

Vista Convention Services has been selected by LMT as the Official Service Provider for LAB DAY East. All boxes or crates sent for your exhibit—and all those sent back after the show—will be handled by Vista. In addition, Vista Convention Services offers furniture and accessories upgrades, custom signage, graphics, backdrops, installation and dismantle services and specialized shipping services. Advance Warehouse: You may send your show materials to Vista’s advanced warehouse prior to the show. Vista will then deliver your items to your booth in time for setup. You may not send packages directly to the Westchester Marriott or have your private carrier deliver a direct to showsite shipment before 2pm on Friday, September 26. Any packages shipped directly to the Westchester Marriott that can be identified as being for the show will be passed on to Vista and billed to you by Vista. However, there is a serious risk that misdirected packages, or any packages without the correct shipping label, could be refused, returned or lost. Any private carrier that attempts to deliver your show materials before 2pm on Friday, September 26 may be turned away at the dock. Neither the Westchester Marriott nor LMT accept any responsibility for materials you ship to the show.

Direct to Show Site: If you are using a private trucking company or are local and want to deliver your uncrated boxes directly to the Westchester Marriott using your own truck you must arrange a time to unload at the dock with Vista Convention Services. All direct to site deliveries must be done on Friday, September 26 after 2pm. Once your items are unloaded, they will be handled by Vista Convention services. Material handling rates from the dock to your booth will apply.

On Site: There will be a Vista Service Desk on the show floor to help you with any questions about your boxes.

Move Out: If your carrier does not pick up your freight on Saturday, or if your freight is left without a bill of lading, it will be shipped through Vista’s preferred carrier, YRC, and you will be responsible for all related costs.

Vista’s planning, ordering and management system is specifically customized for LAB DAY East. For added convenience, you can go online to order everything you need for your tradeshow exhibits, view account order history, download the show schedule, view detailed shipping and handling information, print custom shipping labels and so much more. Vista will send you an email containing the link to the site once LMT receives your completed contract. You do not need your booth assignment to order services and upgrades from Vista, but please do not ship anything to the Vista warehouse until LMT sends you your booth assignment in late August.

Freight Guidelines: You may send crates up to 6’ x 6’ weighing up to 4,500lbs. These guidelines are extremely important. If you send crates that are larger or heavier than these guidelines, we may not be able to load them in to the hall or additional labor may be required to uncrate them at the dock in the elements. Please make sure to plan accordingly. If you are working with an EAC (exhibitor appointed contractor) to build your booth, please make them aware of these guidelines to ensure a smooth move-in and move-out process.

PLATFORMS: Tables must sit on the floor. For safety reasons, no part of your exhibit may sit on a raised platform or any flooring other than Exhibit Hall carpeting.

You may not store empty boxes under your tables(s) or behind the pipe and drape! Tarrytown fire marshal-appointed fireguards will be in the hall throughout the show; the fire marshal or his proxies reserve the right to ask you to remove all boxes/cases/crates/equipment improperly stored, even if the show is already open.

  • All boxes/crates must be tagged and stored by Vista off premises during show hours.
  • Empty box stickers will be available at the Vista Service Desk, located in the Exhibit Hall.
  • You are responsible for properly and clearly labeling your empty boxes/crates—this is the only way to guarantee their return to you at the close of the show. 
  • DO NOT adhere the empty box stickers to your boxes/crates until they are completely empty. Failure to do so may cause your boxes and crates to be collected prematurely.
  • Once labeled, Vista will remove empty large boxes/crates; once they are removed from the show floor, Vista is not able to retrieve them from storage until the end of the show.
  • Vista will begin returning empties as soon as the show breaks at 4:00pm on Saturday. This process could take several hours to complete; your patience is appreciated.  

LMT personnel, hotel staff and Vista will be setting up the exhibit hall, installing electricity and delivering boxes during the day on Friday. WE CANNOT INTERRUPT THIS SET UP PROCESS TO SEARCH FOR PARTICULAR EXHIBITOR BOXES.
